- Employee onboarding data: names, addresses, Social Security Numbers (SSN), compensation details, and start dates submitted through our HR Onboarding tool.
- QuickBooks data: when you connect your QuickBooks Online account, we access and transmit employee data to QuickBooks on your behalf. We store OAuth tokens required to maintain this connection.
- Usage data: log data, IP addresses, browser type, pages visited, and AI tool usage metrics.
- Payment information: billing and payment data processed through Stripe. We do not store full card numbers.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain our platform and services.
- Sync employee records to QuickBooks Online on your behalf when you authorize us to do so.
- Process payments and manage your account credits.
- Send administrative emails (account confirmations, alerts, billing receipts).
- Improve our services and AI tooling through aggregated, anonymized analytics.
- Comply with legal obligations.
4. QuickBooks Online Integration
When you connect your QuickBooks Online account via OAuth 2.0, we receive an access token and refresh token that allow us to write employee records to your QuickBooks company on your behalf. We store these tokens in encrypted form. We only access your QuickBooks data to perform the specific actions you request (such as creating an employee record). We do not sell, share, or use your QuickBooks data for any purpose other than fulfilling your requests within the platform.
You may disconnect your QuickBooks account at any time from the HR Onboarding page, which will delete the stored tokens from our systems.
5. Data Security
We implement industry-standard security measures to protect your data, including:
- Encryption of sensitive fields (SSNs, OAuth tokens) at rest using AES-256.
- TLS encryption for all data in transit.
- Role-based access controls ensuring only authorized users can view sensitive data.
- Admin approval workflows before employee data is transmitted to QuickBooks.
No method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.
6. Data Sharing and Disclosure
We do not sell your personal information. We may share data with:
- QuickBooks Online (Intuit): employee data transmitted at your explicit request.
- Stripe: payment processing.
- Anthropic: AI prompts processed to power our AI tools (no personal employee data is sent to Anthropic).
- Legal authorities: when required by law or to protect our rights.
7. Data Retention
We retain your data for as long as your account is active or as needed to provide services. Employee records are retained for audit and compliance purposes. You may request deletion of your account and associated data by contacting us.
